What is oembrain?

Who is it for?

oembrain is garage management software (workshop SaaS) from OEM DRIVE LTD for UK sole traders and independent garages. One workshop workspace

Replace the paper diary and disconnected spreadsheets.

oembrain is for UK sole traders and small independent workshops that need to run the day—not administer a heavyweight dealer platform.

Book vehicle-first jobs with an optional customer, keep MOT and contact history on the record, and move work through booked, in progress, on hold, done or cancelled. Overdue open bookings stay visible so nothing quietly slips.

Without oembrain
  • Paper diary
  • Costing spreadsheet
  • Loose customer notes
  • Scattered job sheets
With oembrain

One clear job record

Diary, vehicle, customer, quote, job, costs, invoice and payment—kept together.

How it works

A practical path from booking to the accounts.

The full diary → job → invoice → payment workflow is live, with quotes, MOT history, branded PDFs, dedicated accounting exports and optional Xero when connected.

  1. 01

Add the vehicle—and the customer if you have one

Create registration-led vehicle records with optional customer details, duplicate checks and DVLA lookup (UK workshops).

  2. 02

    Book and manage the job

Schedule the work, describe the request and move it through booked, in progress, awaiting parts, on hold, done or cancelled—then archive when it should leave the board.

  3. 03

    Cost labour and parts

Add itemised lines in pounds, calculate workshop VAT-aware totals and produce a branded PDF job sheet with your workshop logo.

  4. 04

    Invoice, record payment and export

Issue professional invoices, record cash, card or bank payments, then use the dedicated Accounting area for bookkeeping downloads or Xero.

Product capabilities

Built around the way a small garage actually works.

No forecourt, investor or multi-company clutter. Just a focused operational record for each workshop—plus the quotes, MOT history and job controls independents actually use.

A diary that behaves like a job board.

See open, today, overdue and upcoming work without maintaining a separate list. Overdue only flags bookings that still need attention; on-hold and in-progress jobs stay under control without false alarms.

  • Booked → in progress → on hold → done
  • Smarter overdue, plus archive when finished
  • Cancel or pause without enterprise CRM clutter

Registration-led records, owned by your workshop.

Registrations are normalised and checked within each workshop. Keep contact details, vehicle details, contact history and job history linked, with each workshop’s records kept private from other accounts.

DVLA lookup for UK workshops. Vehicle enquiry fills make, model and related fields automatically, with manual entry if the government service is unavailable. Full DVSA MOT history shows Pass/Fail on each test and exports to PDF for UK workshops.

Labour, parts and VAT-aware job costing.

Set the workshop’s default hourly rate, add itemised labour and parts in integer-pence-backed records, and calculate VAT according to the workshop setting.

A branded A4 PDF job sheet—with your workshop logo—turns the live job record into something practical for the bay or customer file.

Quotes that become jobs.

Draft a branded quote, email the PDF, then convert the accepted estimate into a job with tax treatment carried through—without retyping lines.

  • PDF download and email delivery
  • Workshop logo on quote and invoice PDFs
  • Convert accepted quotes into jobs
Also included

From bay work through to accounts.

Quotes, invoices, payments, exports and UK vehicle lookup sit in the same workshop record—no separate bolt-ons for the basics.

Quotes PDF & emailDraft, send and convert quotes; branded PDF and email delivery with your workshop logo.
Job-done SMS & contact historyCustomisable job-done text templates, plus email/call/text history on the job and customer.

Independent by design

Software sized for small and independent workshops.

oembrain is deliberately opinionated: one workshop account, a clear day diary, competitive public pricing and no per-technician fees on paid plans.

It does not try to be a dealer DMS, parts catalogue or forecourt platform. A fuller parts-sourcing module is on the Growth roadmap—itemised labour and parts lines on jobs and quotes are live today.

oembrain is a project by OEM DRIVE LTD, the company behind OEMDRIVE and CertGuard.

Workshop feedback

What independent garages say about the day-to-day.

Straight talk from workshop owners and office managers—diary clarity, quotes that become jobs, MOT history on the vehicle, and pricing that suits a small bay.

Before oembrain the diary was chaos by mid-morning—texts, sticky notes, nobody sure which bay had what. Now the whole shop can see today’s board without asking me twice.

Mike Sole trader · Manchester

Customers get a proper quote PDF, and when they accept it becomes a job with the lines already there. No more retyping labour and parts onto a job sheet.

Helen Workshop manager · Kent

DVLA lookup and MOT history on the vehicle record saves us hunting paperwork before a test. For what we pay—and no per-technician fees—it does more of the daily work than the last system we tried.

oembrain is garage management software (workshop SaaS) from OEM DRIVE LTD for UK sole traders and independent garages. It organises the day from booking to invoice: diary, vehicle-first jobs, customers, DVLA/MOT history, quotes, costing, invoices, payments and exports—with competitive Starter (£39/mo) and Growth (£89/mo) plans, unlimited users and no setup fee.

UK sole traders and independent workshops—typically up to about ten bays—that want a diary-first system without dealer, forecourt or parts-catalogue complexity.

Register your workshop, confirm your email and you are taken straight into the diary. After you register you are guided through a short workshop setup (identity, VAT, hours and job-done SMS), then into the diary to add your first customer, vehicle and job.

No. oembrain runs in your browser on desktop, iPhone and iPad—nothing to download or update. Your data stays online and is available from any device you sign in on.

Yes. The full web workshop app is designed for phones and tablets, including iPhone and iPad Safari. Diary, jobs, customers, vehicles, quotes, invoices and MOT history work from the bay as easily as from the office.

The interface is available in English, Spanish and French, and each workshop can set its own currency and locale so money, dates and invoices display in the right format.

Vehicle-first jobs with optional customers, DVLA vehicle enquiry and full MOT history with Pass/Fail and PDF (UK workshops), quotes with PDF/email, job booking with on hold/cancelled/archive, diary filters, labour and parts costing, branded job-sheet and invoice PDFs with workshop logo, job-done SMS templates, contact history, accounting exports, optional Xero, and workshop settings are all available.

Jobs move through clear statuses—booked, in progress, awaiting parts, on hold, done and cancelled—and you can filter the board, jump to any date or archive finished work. Overdue only applies to open bookings that still need attention.

Each job holds its own labour and parts lines. Totals are calculated automatically and respect your workshop VAT setting, and you can produce a branded job sheet or turn the job straight into an invoice.

DVLA vehicle enquiry (for UK workshops) is available, with manual entry retained during external outages. Full DVSA MOT history shows Pass/Fail on each test and can be exported as a PDF from the vehicle record.

Accounting → Exports provides bookkeeping downloads for sales, payments, VAT and full workshop records. Assisted imports remain a future enhancement.

You can raise an invoice from a job, issue it, record full or partial payments and track the outstanding balance. Every invoice can be downloaded as a professional branded PDF.

Each invoice carries a unique verification code printed on the document. Anyone can enter that code on the public verification page to confirm the invoice is authentic without exposing private details.

Yes — for workshops in supported countries when the connection is enabled. Manage it under Accounting. CSV downloads for your accountant remain available whether or not you use Xero, and other bookkeeping connections may follow later without promised dates.

Workshop settings record whether the garage is VAT registered, and invoice calculations and PDFs snapshot the relevant VAT details.

All packages share the same core diary, records, invoicing and export tools. Higher packages lift the monthly job allowance and unlock the extras listed on each package card, so you can pick the size that matches your throughput.

Yes. Starter is £39 per month or £390 per year, and Growth is £89 per month or £890 per year—competitive public pricing for independents, with unlimited users and no setup fee. Annual billing gives you 2 months free. Package availability, limits and features are controlled centrally and shown on this page.

oembrain publishes competitive pricing for independents: Starter £39/month (£390/year) and Growth £89/month (£890/year), with unlimited workshop users and no setup fee. Many specialist cloud workshop systems publicly start higher; oembrain does not claim to be the cheapest in every comparison, and it does not try to match heavyweight multi-site GMS depth.

Creating an account starts the trial shown on the selected package. No card is required to register, and you keep full access to that package’s features throughout the trial.

Your data stays exactly as you left it. To keep working past the trial you activate a subscription from the billing page using our secure checkout; nothing is deleted while you decide.

No. Paid packages allow unlimited workshop users. Any monthly job allowance is shown clearly on the package card.

Each package includes a monthly job allowance shown on its card. If you regularly work above your allowance you can move up a package; the diary tells you where you stand during the month.

You can upgrade from Starter to Growth in the billing area, with the existing subscription changed and prorated securely rather than creating a second subscription. The self-service portal lets you manage your payment method, cancellation and payment history.

Subscription payments are processed by a certified global payment provider. Your card details are entered on their secure pages and are never stored on oembrain’s servers.

Yes. Each workshop has its own secure account, and customers, vehicles, jobs, invoices and payments stay inside that account and are never shared with other workshops.

oembrain is built and operated by OEM DRIVE LTD. You always deal with the same team for the product, your subscription and support.

There is a guided workshop setup wizard on web and in the mobile app, and you can reach the team by email for account, billing or product questions. Because everything runs online, fixes and improvements reach you automatically.

Itemised labour and parts lines on jobs and quotes are live. A fuller parts-sourcing and stock module is on the Growth roadmap and is not sold as available today.
